[Fellows-Southampton] Access to Turing Institute and booking travel

Dear Fellows

I'm writing regarding the re-opening of The Alan Turing Institute's physical office space in London and how you can get there using the Turing Fellow travel and expenses allowance.

Institute re-opening and using the office space

The Institute has re-opened to the Turing community (and guests/visitors). Attached are the Institute's Workplace Guidelines which have been specifically designed to support Turing Fellows visiting the office space at the British Library. I recommend you read this document before visiting the offices (even if you have been a Turing Fellow previously).

Some key points to note:
-            The offices are currently open Monday-Thursday only.
-            Turing Fellows have access to the first floor of the Turing's offices - this is the main collaboration space at the Institute.
-            Wearing a face covering in the first floor office space remains a personal choice.
-            In line with the British Library's guidance, Turing Fellows will need to wear a face covering when in other parts of the library, including in the entrance area and in lifts.
-            If you would like to book a room or register guests/visitors, please email reception at turing.ac.uk.
-            Turing Fellows can register up to five guests on any given day.
-            You do not need to book a desk before visiting the Institute offices. There are a number of non-bookable desks you can work at and small pods if you need to take private calls. These are clearly marked on the Institute floorplan on page 6 of the guidance document.

To access the Institute, you require an access pass. Once you have completed the Turing Fellow Onboarding Questionnaire and completed the Agenda Screening process, the Institute's People team will liaise with the British Library to create your pass. Once this is ready for collection, you will receive an email notification from the Turing People team with instructions for collecting the pass on your first visit.

If you have an access pass from a previous fellowship, this will still work, and you will not receive a new pass.

Travel and expenses

I am currently in discussions with Finance about setting up a sub-project code specifically for Turing Fellows' travel and expenses.  As soon as this is resolved, I will share the sub-project code with you, together with further guidance on what is/isn't eligible.
