<p class="">Dear ITA Colleagues, </p>
<p class="">Each year we hold an Annual Fall Meeting (AFM) with the main goal to present the research results of the alliance to each other, our stakeholders, and the peer review panel.
</p>
<p class="">This year the AFM will be from <b class="">September 10-12th, 2018 hosted at IBM Learning Center in Armonk, New York.</b> We're still working on the details but request that you please plan to be in New York for the event. We'll issue registration
details and accommodation options as soon as we can. </p>
<p class="">AFM is the Technical Review Meeting specified in the TIA-1 agreement - "The focus of the DAIS ITA Technical Review Meeting is to present ongoing research efforts and scientific results. For the broader community and stakeholders (both Government
and non-Government, by invitation only), this meeting may consist of scientific talks, workshops,and demonstrations, and tutorials."
</p>
<p class="">The Peer Review Panel process is included as part of the annual DAIS ITA Technical Review Meeting. Peer Reviewers will be invited to attend AFM 2018 main meeting and will be made available to project teams for consult regarding the direction of
work in progress should there be interest. As we are at the start of BPP18 there won't be a full Peer Review in 2018 but the Peer Review Panel will prepare an abbreviated feedback report for the Technical Management Group's (TMG) consideration.
</p>
<p class="">Submission to this meeting is open to DAIS International Technology Alliance members only. All authors of submitted paper presentation and posters, workshops, tutorials, and demonstration proposals must be affiliated with an institution that is
a part of the DAIS ITA (or must have been affiliated with such an institution at the time the research was conducted) and should be presenting items related to ongoing research tasks.
<u class="">All presentations, posters, and demonstrations are required to represent multi-organizational collaborative work</u> with the exception of transitions demonstrations for which single institute submittals may be permitted.
</p>
<p class="">New this year, AFM specific papers need not be created but instead will be focused on presentations and posters which point to and showcase existing completed or in process work. Based on alliance proposals Project Champions (PCs) will nominate
presentations, posters, workshops, tutorials, and demonstrations for inclusion in AFM.

<p class="">The AFM 2018 will include <b class="">Oral Presentations</b> and<b class=""> Posters</b> for short oral summary and poster display which showcase existing completed (published or pre-publication) research work. There is no need to create a specific
paper for AFM. </p>
<p class="">Alliance members are invited to submit a title, list of authors and abstract** summary in two categories, both being "open" invite.
</p>
<p class=""> <b class="">Oral Presentations</b> can cover a subset of work completed in that task (i.e., one or multiple pieces of published or pre-publcation papers). Each project task will be asked to submit one Full Presentation. Alliance members should
discuss the potential submissions for Full Presentations with their Project Champion, reach consensus on the presentation content, and submit** the consensus presentation. Cross project research work can be included in one or both of the presentations based
on mutual agreement among the project champions. <br class="">
<b class=""> Posters</b> present a published or pre-publication paper that the program has produced. Each project would have an upper limit on at most 6 Short Posters per project. Alliance members should discuss the potential submissions for the posters
with their Project Champion, reach consensus on the set of posters to be presented, and submit** the consensus set of posters. Posters should plan to prepare a summary poster and deliver a one minute oral highlight of their work at the Fall Meeting. A work
may be included in both the Full Presentation and Short Poster. Cross-project research work may be submitted on any one of the projects based on mutual agreement among the project champions. In exceptional cases the Project Champions can support the creation
of new material for posters, for example emerging ideas or unusual collaborations such as the West Point Cadets.<br class="">
** Submissions should include title, co-authors, institutes, contact author (presenter or poster preparer), list the number of the relevant BPP or IPP task(s), and and provide links to relevant papers

<p class=""><b class=""><u class="">PRESENTATIONS</u></b>: We plan to host three or four Full Presentations in each session allowing 20 minutes per presentation. Please prepare a 15 minute presentation and plan to answer 5 minutes worth of questions for each
task level presentation. Posters will be presented in an open format where attendees walk around and speak with authors during the poster session the whole of Tuesday afternoon. Each Poster owner will be asked to give a one minute highlight summary of their
work in plenary prior to the poster session to generate interest and encourage networking.
</p>
<p class=""><b class=""><u class="">REVIEW AND SELECTION</u></b></p>
<p class="">Submissions for presentations and posters that conform within the limits specified above will be accepted automatically. Any submissions that fall above the limits will reviewed by Project Champions (PCs) and TALs for potential acceptance. The
PCs in conjunction with Technical Area Leaders (TALs) may suggest possible change of the titles and presenters of selected presentations. Cross project submittals will count towards the one per task Full Presentation and six per project Short Poster limits
and should identify a primary project association for this purpose. <b class="">
Please be sure to coordinate your proposals with the appropriate Project Champion(s).</b></p>
<p class="">While, the selection process will consider the technical quality of the papers, authors are reminded that the selected papers will also reflect the diversity, international collaborative nature, and focus of the ITA research. Papers highlighting
results of collaboration across nations or several project areas are particularly encouraged.

<p class="">The AFM is an internal meeting of the alliance, and its primary goal is to showcase the technical progress made by the alliance members to the stake-holders of the program. Alliance members are asked to summarize and present papers that have already
appeared in other venues, or you plan to submit to other external venues. The meeting agenda will only be accessible from the DAIS site that is available to the alliance members using the password, to avoid any issues with existing/planned presentations.
</p>
<p class="">Summary presentations and posters of papers that have already appeared in other venues will be published in science library and will simply be linked to the AFM event. Authors must disclose this prior to publication in an acknowledgement in the
paper submitted to the Annual Fall Meetings and are responsible to ensure that they have permission from the copyright holder to submit this research to the 2018 ITA Fall Meeting. Future planned publications will not be made available on science library until
they have been formally published externally and at this point will be linked to the AFM event as well as the external venue they appear in.
</p>
<p class="">For the task level Full Presentations that will be presented, we recommend inclusion of paper(s) that showcase the best of the program goals - namely international collaboration, breakthrough science and coalition relevance. The best paper(s) would
be those that have both U.S. and UK co-authors (preferably including Govt co-authors) and have appeared at venues listed in top/target conferences of the DAIS Program (<a href="http://dais-ita.org/top_and_target_conferences" class=""><u class=""><font color="#0000FF" class="">dais-ita.org/top_and_target_conferences</font></u></a>)
or similarly respectable venues. The task level Full Presentations should showcase progress made in different tasks of the IPP or BPP.
</p>
<p class="">The best Short Posters are work that show results made towards the BPP or IPP goals, but which may be at a lower value (from show casing the program) of presenting in a plenary session compared to the Full Presentations.
</p>
<p class="">All papers should contain the normal acknowledgement of support and disclaimer required in all publications resulting from DAIS ITA.<br class="">

<p class="">DAIS ITA Alliance Members are asked to submit topics for workshops and tutorials.
</p>
<p class="">At the AFM in September there will be sessions for workshops/tutorials to be held, each lasting 1.5 or 3 hours. A tutorial would be educational in nature, and focussed on a specific technology/concept, whereas a workshop may have a broader scope
and be very interactive. Tutorials and workshops need not be constrained to one project or TA. If a project/team has several papers in one specific area, they can propose that there be a special workshop or tutorial on that. Each workshop or tutorial would
have 3 (for 1.5 hour workshops) or 4-6 papers (for 3 hour workshops) that represent published or pre-publication research work. The workshop/tutorial will consist of presentation of those papers. The workshop presentation can include work that is also submitted
as a poster or oral presentation. However, the presentation in the workshop should cover more details than the oral presentation. There is no pre-set maximum number of workshops or tutorials at the AFM.
</p>
<p class="">Workshops would cover presentations where the primary goal is to present new research results. Tutorials would cover presentations where the primary goal is to present a survey of existing technologies or the state of the art.
</p>
<p class="">There is no formal format for submissions, but the following information would be helpful in deciding which to take forward:<br class="">

<p class="">Interactive demonstrations are a great way to showcase DAIS ITA research efforts and practical value to fellow researchers and program stakeholders attending the Annual Fall Meeting (AFM). All consortium members are encouraged to submit proposals
for demonstration of the technologies that have been developed under DAIS ITA. Special consideration will be given to the demos that present the collaborative aspects of the fundamental research across projects and technical areas.
</p>
<p class="">Each demo proposal should include a title of the demo; the names, email addresses, and affiliations of the organizers and relevant technical areas along with a one-to-two-page abstract describing the demonstration. Submissions must be in Adobe
PDF format. Figures explaining the demo are encouraged. Any equipment you would like provided for demonstrations such as table space (width x length), # of external monitors, Ethernet or wireless connectivity, power adapters, easels to put up additional
posters, etc needs to be detailed in proposal submissions. </p>
